Shared-Services Events Coordinator
Plan meetings and conferences for several small associations sharing staff ahead of the 2027 Southeast Shared-Services Forum.
You will plan and run the annual meetings, board retreats and small conferences for several associations inside NANA's Southeast shared-services pilot, each with too few staff to hire its own events person. You report to the council's operations director and work from the council's Charlotte office.
About Southeastern Textile Manufacturers Council
The council represents 230 textile mills and manufacturers with a staff of 12 in Charlotte, North Carolina. President and CEO Dana Whitfield built the shared-services pilot in 2023; it now hosts 11 associations sharing a finance manager, an events coordinator and an AMS license. NANA is preparing a national rollout of the model at the Southeast Shared-Services Forum on 2027-08-12, where this role will help staff the event.
What you'll do
Plan and run annual meetings and board retreats for assigned member associations
Negotiate hotel room blocks and catering contracts for groups under 150 attendees
Manage event registration and badge printing for each association's meetings
Coordinate speaker logistics and agendas with each association's executive director
Help staff the 2027 Southeast Shared-Services Forum in Charlotte
Reconcile event budgets against each association's approved spending
Maintain a shared events calendar across all pilot associations
What you bring
3+ years planning meetings or conferences, ideally for a nonprofit or association
Comfort juggling event calendars for more than one client organization
Hotel and vendor contract negotiation experience
Familiarity with event registration platforms
Willingness to travel within the Southeast during forum season
